At Expedition Rentals, we know that when you’re on the job: whether it’s a massive industrial site in the oil patch or a weekend landscaping project in your own backyard: time is your most valuable asset. You need answers fast so you can get the gear and get to work.

We’ve compiled this comprehensive FAQ to pull back the curtain on how we operate. From the nitty-gritty of insurance requirements to the logistics of getting a 30-ton excavator to your site, we’ve got you covered. Consider this your go-to guide for partnering with us.

1. The Rental Process: Getting Started

How do I book equipment?
Booking with us is straightforward. You can browse our online catalog to see the range of gear we carry: from air compressors to lighting equipment. Once you find what you need, you can request a quote online, give us a shout over the phone, or swing by our location.

What do I need to bring with me to rent?
If you’re a new customer, we keep it simple but professional. You’ll need:

  • A VALID DRIVERS LICENCE — this is the ONLY acceptable piece of ID.
  • A major credit card for the security deposit and payment (for those without a commercial account).
  • For many homeowners and small businesses, you do not need your own separate insurance policy to rent. No insurance? No problem. While our pro industrial clients typically have their own policies, we’ve made the process welcoming for homeowners and small businesses: you can rent from us without your own separate insurance policy.

Can I reserve equipment in advance?
Absolutely. In fact, we encourage it: especially during the busy Alberta construction season. A reservation ensures the machine is serviced, fueled, and ready to roll the moment you need it.

2. Delivery and Pickup: Logistics Simplified

Do you deliver, or do I have to pick it up?
We offer pick up and delivery for any size equipment.

What are your delivery zones and timing?
We primarily serve the Alberta region, catering to industrial sites, construction zones, and residential areas. Delivery timing depends on the scale of the equipment and your site’s location. We aim for “just-in-time” delivery to ensure your crew isn’t standing around waiting for steel to hit the ground. When you book, we’ll provide a delivery window so you can plan your day.

What happens if I’m not there when the equipment is delivered?
For residential drops, someone over 18 must be present to sign for the equipment and receive a basic safety orientation. For established commercial sites, we can often arrange “drop-and-go” deliveries if a site contact is reachable and the drop zone is clearly marked. Secure

3. Equipment Operations: Fuel, Maintenance, and Breakdowns

What is your fuel policy?
It’s simple: Full-to-Full. We provide the equipment with a full tank of fuel. We ask that you return it the same way. If you don’t have time to hit the pumps on the way back, no sweat: we’ll top it off for you and bill the fuel at our Shop fuel rate. There is only 1 fee.

Who is responsible for daily maintenance?
When the machine is in your hands, you’re the captain. For long-term rentals, we expect the operator to perform basic daily checks: monitoring fluid levels (oil, coolant, DEF), greasing pivot points if required, and checking tire pressures or track tension. This keeps the machine running at peak efficiency and prevents unnecessary downtime.

What if the equipment breaks down on the job?
Mechanical issues are a part of life in the dirt, but they shouldn’t stall your project. If a machine isn’t performing or throws a code, stop operation immediately and call us. Notify us within 30 mins of down equipment (its part of our contract). We’ll troubleshoot over the phone or dispatch a service tech to your site. If we can’t fix it quickly, we’ll do our best to swap it out for a fresh unit.

4. Safety and Compliance: Protecting Your Crew

Do I need a special license to operate the equipment?
For most earthmoving and construction equipment, you don’t need a specific class, but you must be competent. Under Alberta OHS laws, the employer/renter is responsible for ensuring the operator is properly trained and holds the proper certificate.

Do you provide training?
We provide a “familiarization” walk-around upon delivery. This covers the controls, safety features, and basic operation. However, this is NOT a certification course. For specialized gear like articulating boom lifts or forklifts, we highly recommend (and sometimes require) proof of operator certification.

What safety gear (PPE) do I need?
At a minimum, we recommend CSA-approved steel-toe boots, high-visibility vests, safety glasses, and gloves. Depending on the machine (like a jackhammer), hearing protection and respiratory masks may be required. Safety isn’t just a suggestion; it’s how we ensure everyone goes home at the end of the shift.

5. Billing: Rates, Deposits, and the “Oops” Factor

How are rental rates calculated?
We use a standard industry cycle:

  • 1 Day: 24 hours of possession with up to 8 hours of engine run-time.
  • 1 Week: 7 days of possession with up to 40 hours of engine run-time.
  • 1 Month: 28 days of possession with up to 160 hours of engine run-time.
Going over the meter hours will result in additional pro-rated charges.

What about deposits and late fees?
For customers without a commercial account, we hold a security deposit on your credit card. This is released once the equipment is returned, inspected, and found to be in good shape. Late fees apply if the equipment is not returned by the agreed-upon time, as it may be booked for another customer immediately after you.

What happens if I damage the equipment?
We know worksites are tough. Small scuffs and “honest wear” are expected. However, major damage (bent booms, smashed glass, punctured tires, or interior cab damage) is the responsibility of the renter. For homeowners and small businesses, don’t sweat the insurance paperwork—we don’t require you to have your own policy to get the job done. Our pro industrial clients often carry their own “Rented/Leased Equipment” coverage, but we’ve made the rental process easier and more accessible for smaller customers.

6. Homeowners vs. Pro Contractors: Finding Your Fit

We cater to two very different types of heroes, and we’ve tailored our service to match:

For the Homeowner

You’re tackling a DIY project: maybe a retaining wall or a new driveway. You need equipment that is easy to use and a partner who won’t talk down to you.

  • Tailored Advice: We’ll help you pick the right size machine so you don’t overpay for power you don’t need.
  • Flexible Delivery: We can drop a mini-excavator right in your driveway.
  • Clear Instructions: We’ll make sure you’re comfortable with the joysticks before we leave.

For the Pro Contractor

You’re running a business where “downtime” is a four-letter word. You need reliability and a partner who understands the industrial landscape of Alberta.

  • Commercial Accounts: Streamlined billing and OAC (On Approved Credit) terms to keep your cash flow moving.
  • Fleet Variety: From generators for remote sites to large tracked loaders, we scale with your contract.
  • Compliance Ready: Our equipment is maintained to meet the strictest site safety requirements.
